How to get VTU Transcripts in 2018?


What is Transcript (VTU, BE)?

A transcript is a mark sheet of all the semesters printed on one sheet. The only reason foreign colleges or companies want your transcript is because the transcript tells the foreign universities or companies the following information:

  1. Class: First or second class (explaining what class means)
  2. The medium of Instruction: English or Hindi or any other language.
  3. The total duration of Engineering
  4. When was the student enrolled into an engineering course and when it was ended.
  5. When was VTU started, how many courses are provided by the VTU, where is it headquartered, Phone number, email ID, the website of the VTU?

All the above information is very much important for the foreign universities to understand: VTU, your branch of engineering, and your marks in one single sheet.

This information is not provided in our Marks cards or the Degree certificate, and hence the foreign universities don’t consider them as important when you apply for admission in foreign universities.

Why do we need Transcript?

Transcripts are required to apply for permanent residency, higher education, visa, H1B, immigration etc. If you are applying for WES evaluation (ECA) for job, education or Canada PR, you need to apply for transcripts from your university, unless your college is Autonomous.

Procedure to follow to get VTU transcripts:

  1. Make Online Payment
  2. Fill Transcript Application form
  3. Write a Letter to Registrar requesting for Transcript
  4. Buy an A4 size Envelope cover
  5. Submit

Step 1: Make an Online Payment


  • Make a payment of Rs. 500 for one transcript at this VTU payment portal: VTU Payment Link

  • Note down the Transaction ID/Payment ID/Reference number at the end of your payment. You need to fill this Payment ID in the transcript application form.
  • If you want more than one transcript, Rs. 300 extra is charged for every extra copy.
  • For example: if you want 3 transcripts, you have to make a payment of Rs. 1100 (Rs. 500+Rs. 300+ Rs. 300)
  • Or use this formula to find out the cost of the transcript(s): 500 + (N-1) * 300 Where N represents the number of transcripts you need.

Step 2: Print and Fill the application form

Step 3: Write a letter to Registrar


Write a letter addressing the VTU Registrar requesting for the transcripts in a blank A4 size white paper similar to the below format.

Step 4: Buy an A4 size Envelope cover


  • Buy an A4 or Legal Size envelope cover from the stationery shop
  • Staple Letter and Transcript Application form together and put them into the A4 size envelope cover.
  • Write your address on one side: Only Indian address. Note: VTU doesn’t deliver transcripts to foreign countries
  • Write the below address on the other side of the  envelope cover

How to get VTU Provisional Degree Certificate (PDC) in 2018?


What is VTU Provisional Degree certificate (PDC)?

Provisional Degree certificate is a temporary degree certificate provided to you by your university (Visvesvaraya Technological University).

PDC tells you that you are eligible to receive Convocation Degree certificate.

Is Provisional Degree certificate mandatory to have with you?

Provisional Degree certificate is not mandatory to have with you.

Why do you need Provisional Degree certificate?

You may need PDC when you are yet to receive your Degree certificate and at the same time you are looking for a job or want to apply for further studies.

What is the validity of PDC?

Provisional Degree certificate is valid until you receive your Convocation degree certificate.

When can you apply for Provisional Degree certificate?

You can apply for PDC Immediately after you complete your education. In other words, immediately after your final sem results are declared.

And also, you do not need to wait for your final Sem marks card to reach your hands. You can get your PDC to your address in 15 to 45 working days after applying.

How to get a Provisional Degree Certificate (PDC)?

Steps to follow to get PDC:

  1. PDC application form
  2. Make online payment
  3. A Letter to Registrar (optional)
  4. A4 size envelope cover
  5. Submit

  • Print the application form:  PDC Application form
  • You can also get the application form from your college.
  • Read the PDC application form carefully and fill the required fields.
  • You can leave PDC Token no blank. It will be filled by VTU.

  • Write a letter to registrar clearly mentioning the purpose of the application.
  • The letter must contain your USN number, College, Home address, Payment ID, and Phone number.

Step 4: Buy an A4 size Envelope cover


  • Go to a stationery shop and buy an A4 size envelope cover
  • Staple Together Letter and PDC application form. Put them all into the envelope
  • Write your home address or wherever you want to receive the PDC on one side, and below-given address on the other side of the Envelope cover:

What is Consolidated Marks Card All the Semesters?

A Consolidated Marks Card (CMC) of all the Semesters combined is a single marks card that contains marks of all the semesters, i.e from 1st Sem to 8th Sem. Whereas, ‘Consolidated Marks Card of a single semester’ is a marks card of any one particular semester.

When would you need Consolidated Marks Card of All the Semesters?

You would need Consolidated Marks Card of All the Semesters when you have several attempted marks cards.

Is it a must to have a Consolidated Marks Card of All the Semesters?

Consolidated Marks Card of All the Semesters is not mandatory to have. This type of marks card is only for your convenience.

Note: Before you apply Consolidated Marks Card of All the Semesters you have to pass all the subjects in all the semester.

How to get Duplicate of Lost Degree Certificate/Marks Card of VTU?


If you have lost your original marks card or Degree certificate due to fire or any other means, you have to follow the below procedure to get the VTU duplicate marks card or degree certificate.

Requirements to get the Duplicate documents:

  1. Make an Affidavit on Rs. 20 Stamp Paper
  2. Write a complain letter to a police station and get an FIR filed.
  3. Go to a police station
  4. Make an Online Payment for your required certificates.
  5. Fill the application form
  6. Submit

 

Step 1. Make an Affidavit (Approx Rs 220)


  • Go to a Civil Court, or to a place where people sit with typewriters on the road. the typists usually can be found around registrar offices, driving licensing offices…
  • Tell the typist that you have lost College certificate and you need Affidavit. He will ask you… where you have lost, when you have lost, how you have lost, USN number, Month & Year of passing, Course, Branch, college.
  • Now, leave the rest to him.  He will ask you to wait and starts typing something on Green colored 20 Rupees Bond paper about your loss of certificate.
  • Once the typing is complete, you need to get the Bond paper signed and sealed by a lawyer which the typist will take care of getting signed and sealed by a lawyer.
  • After all this, your Affidavit is ready and the typist will charge you around Rupees 200 for the service.
  • Xerox  your Affidavit

Step 2. Write a complain letter to a police station


You can ask the typist to write a complaint letter for you, for which he will charge some amount, or you can write a letter on your own.

Step 3. Go to a police station


  • Go to the nearest police station from where you have lost your certificate.
  • Tell them you have lost your certificate and need to apply for a duplicate certificate from the university. And show them the Affidavit and the complaint letter.
  • The police will take your xerox copy of Affidavit, and will sign/seal your complaint letter.
  • Don’t give the original Affidavit to the police.
  • If you have bribed, then report your bribe here: http://www.ipaidabribe.com/add-report

Step 4. Make an Online Payment


  • Make online payment VTU Payment Link VTU has removed the PayUMoney link and now allows payment through Online SBI Bank
  • For lost marks card make a payment of Rs. 300 for each marks card + Rs. 50 per academic year
    For Example, you got 6th sem marks card in 2014 and you lost it in 2018. Cost is 300+4*50=500
  • For lost Duplicate degree Certificate make a payment of rupees 2000 + 200 per year
    For Example, you got the certificate in 2012 and you lost it in 2018. Cost is 2000+6*200=3200

Option 4: Submit to your college.

I recommend to submit the documents at VTU Belgaum and receive your duplicate certificates by 4:30Pm  same day, otherwise, you may have to wait forever.

 

How to get VTU Degree Certificate (Convocation Degree Certificate)?


What is a Convocation Degree Certificate?

VTU Degree Certificate or Convocation degree certificate is a certificate that certifies you that you have completed the Engineering, passing all the subjects, successfully. It is a proof that you are an engineer. You can hang your certificate, if you love, on the wall of your house or office to prove that you are an engineer.

When do you get Convocation Degree certificate?

If you have applied, you’ll get your Degree Certificate one year after the completion of engineering. Like, if you have completed the engineering in January 2000, then you’ll get your Degree certificate only after January 2001.

In fact, you receive the degree certificate during Convocation. Convocation is A formal ceremony at a college or university, as for the conferring of awards. Convocation usually happens between January and April.

You have to ask your college or VTU about the Convocation dates so that you’ll know when you’ll receive your Degree certificate.

How to apply for Convocation Degree Certificate?

  • In your college, you are prompted to apply for Degree certificate by your teachers in 6th or 7th semester.
  • If you have missed the chance to apply for Degree certificate in your college or if you have lost the degree certificate, then you have to follow the below procedure to get it.

Procedure to follow to get VTU Degree Certificate:

  1. Fill the Application form
  2. Make Online Payment
  3. Buy A4 size Envelope cover
  4. Buy A4 size Letter
  5. Submit

Once you are ready with all the above things, Follow the below steps,

Step 1: Fill out the application form


  • Download and Print the application form from here VTU Convocation Degree Certificate Application Form
    Or Go to any Engineering college affiliated to VTU and ask for Convocation application form. They might charge an amount.
  • Fill the application form and get Principal’s Signature of your college or signature of any gazetted officer.

Step 2: Make Online Payment


But if you are applying for Degree certificate one year after the completion of your engineering then make a payment of Rs. 900.

Similarly, if you are applying for Degree certificate 2 years after the completion of your engineering, then make a payment of Rs. 1000 rupees, And so on…. in this way 100 rupees is added every year as a penalty (AKA Search fee)

  • Note down the Transaction ID/Payment ID at the end of your payment. You need to fill this Payment ID in the VTU Convocation Degree Certificate Application Form.

Note: In case you lost your Degree Certificate, you can get a duplicate degree certificate by making a payment of  Rs. 2000+(Rs. 200 x number of years since your completion of engineering)
How to get Duplicate of Lost Degree Certificate/Marks Card of VTU?

Step 3: Write a letter


Write a letter to Registrar requesting for Degree certificate. The letter must contain when is your year of passing engineering, your Name, USN, Phone number, Home address, college name, DD number.

Step 4:  A4 size Envelope Cover


  • Put the  VTU Convocation Degree Certificate Application Form and the letter in the envelope cover.
  • Write the below address on one side of the envelope

  • Write Your Address on the other side of the envelope

Step 5: Submit


You can choose one of the below options to submit your documents.

Option 1: Submit at VTU Bangalore Regional center or any other VTU regional center nearest to you.

Option 2: Speed post it to VTU Belgaum through DTDC or Professional courier, or some other mailing service to the below-given address,

You’ll receive your CDC in 15 to 20 working days.

Option 3: Visit VTU Belgaum before 12 PM along with your college ID, DL for photo identification, and submit personally, and receive your CDC on the same day in the evening.

Please Note:

If you plan to submit at VTU Belgaum then you don’t need to carry the xerox copy of marks, No need of anybody’s signature, No need of anybody’s attestation (Gazetted officer Attestation can be done in VTU), No need of the letter.
